2. Information we collect
- Contact details you submit through our enquiry form: name, email address, phone number, event type, preferred date, guest count and message.
- Engagement information needed to plan your event: venue preferences, budget range, supplier requirements, timelines and billing details.
- Technical information such as browser type, device type and pages visited, collected in aggregate to keep the site working and secure.
We do not knowingly collect information from children, and we do not ask for sensitive categories of personal data unless an event requires it (for example dietary or accessibility needs supplied voluntarily).
3. How we use your information
- To respond to your enquiry and prepare a written quote.
- To deliver and coordinate the event services you have engaged us for.
- To share necessary details with suppliers, such as guest numbers or dietary requirements.
- To issue invoices and maintain accounting records required by law.
- To improve our website and services.
We do not sell personal information, and we do not share it for third-party advertising.
4. Sharing with suppliers
Delivering an event requires sharing limited information with venues, caterers, technical crews and other suppliers. We share only what each supplier needs to perform its role, and we require them to handle that information confidentially.
5. Retention
Enquiry details that do not become bookings are kept for up to twelve months. Records relating to completed events, including contracts and invoices, are retained for as long as required for tax, accounting and legal purposes, and then deleted or anonymised.
6. Security
We use reasonable technical and organisational measures to protect personal information, including access controls and encrypted transmission. No system is completely secure, so we cannot guarantee absolute security, but we will notify you and the relevant authorities of a breach where required by law.
7. Cookies
Our website uses only the cookies and local storage needed to load pages and remember basic preferences. We do not run third-party advertising trackers. Where an embedded map is displayed, the map provider may set its own cookies under its own privacy policy.
8. Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to certain processing, and to withdraw consent. To exercise any of these rights, contact us at support@elingtonevent.com. We respond to verified requests within thirty days.
9. Marketing communications
We only send updates to clients and enquirers who have asked to receive them. Every message includes an unsubscribe link, and unsubscribing does not affect service-related emails about an event you have booked.
